One account per website, and inviting colleagues
One website, one workspace
A website is tracked in one AEOTrack workspace, and it gets one free trial. Everyone who works on it belongs in that workspace, invited from Settings → Team, so the questions, scores and history are in one place rather than split across two accounts. A colleague who signs up separately with the same website gets no second trial.
When the website you add already has an account
If another workspace already tracks the website you enter, AEOTrack says so instead of adding it:
This website already has an AEOTrack account (j•••@acmecoffee.example) · Acme Coffee Roasters
The owner's address is shown as its first letter and its domain only, never in full, and the workspace's name is added when it has one. From there you can:
- Request access: ask the owner to invite you (below).
- Sign in with the email I used before (during setup, Sign in with my other account), if the earlier account is yours. The account and its history are still there.
- Choose a plan to track the website in this workspace instead. A website gets one trial, so there is no second one.
- Write to support@aeotrack.io, and we will move the website to the right account.
If this was the first website of a new trial, that trial ends here, and the website is added once you choose a plan. See When your 7-day trial starts.
When the website is tracked in an agency's workspace, the screen does not show whose it is unless you work at the same company (the same company email domain; a Gmail or other personal address never counts). An agency tracks its clients' websites, and who works for which client is theirs to share. Request access still reaches the owner.
Request access
Request access emails the owner of that workspace: "{your name} asked to join your AEOTrack workspace for acmecoffee.example". The email gives your name and address, and its button, Invite them from your Team page, opens their Team page. If they reply, the reply reaches you and AEOTrack support. Support is told of the request too, so it does not depend on one inbox.
- Nothing is shared until the owner invites you. They see nothing of your workspace, and you see nothing of theirs.
- The screen confirms who was emailed, for example "We emailed the owner of acmecoffee.example (j•••@acmecoffee.example) that you asked to join."
- You can ask once a day for a website. Asking again the same day says you already asked.
- It works for the website you were just shown, once your email address is confirmed (Google sign-in counts as confirmed).
- The owner's email is account mail: it answers your request, so it is outside the one-a-day email limit.
When the owner invites you
The owner, or an admin of their workspace, invites you from Settings → Team with your email address. The invitation email has the link, which works for 7 days.
When you accept an invitation as an admin or a member of the workspace that has the website you asked about, you move into it. The empty workspace you signed up with is set aside: it has no website and was never billed, and nothing in it is deleted. If you are later removed from that team, you get your own workspace back.
A viewer invitation, or an invitation to any other workspace, leaves your own workspace and its trial as they are.
Inviting colleagues
Owners and admins invite people under Settings → Team: enter the address, choose a role and send the invite.
| Role | What they can do |
|---|---|
| Admin | Every tracking tool, plus inviting people, billing and company settings |
| Member | Every tracking tool, but not inviting people, billing or company settings |
| Client viewer | Dashboards and reports, read-only: no checks, no settings, no billing. Can be limited to chosen websites |
- An invitation uses a seat as soon as it is sent. The trial and Starter have 2 seats, Pro 5 and Agency 10; client viewers are free on Agency. See Pricing, plans and billing.
- The link expires after 7 days if it is not accepted.
- Invited people who use Google sign in with Google on the sign-in page first, then open the invitation link in the email again (Google sign-in and email verification).
Invite a colleague rather than ask them to sign up: a separate sign-up with the same website gets no trial, and its history would start from nothing.
